The purpose of this privacy policy
Permaculture Tasmania has developed this policy based on the Australian Privacy Principles contained in The Office of the Australian Information Commissioners, Privacy Act 1988.
It outlines our obligations to members and others with respect to how we manage their personal information. This governs the way in which we collect, use, disclose, store, secure and dispose of personal information.

What is personal information and why do we collect it?
Personal information identifies an individual. Examples of personal information we collect include names, addresses, email addresses and phone numbers.
This information is obtained through correspondence, by telephone and email, via our website permaculturetasmania.org, from member websites, from media (including social) and publications, and from other publicly available sources.
We collect personal information for the primary purpose of providing services to PT members and in serving the objectives of PT. We may also use personal information for secondary purposes closely related to the primary purpose, in circumstances where you would reasonably expect such use or disclosure.
When we collect personal information we will, where appropriate and where possible, explain to those individuals why we are collecting the information and how we plan to use it.
Sensitive information
Sensitive information is defined in the Privacy Act to include information or opinion about such things as an individual’s racial or ethnic origin, political opinions, membership of a political association, religious or philosophical beliefs, membership of a trade union or other professional body, criminal record or health information.
Sensitive information will be used by us only:
- for the primary purpose for which it is obtained
- for a secondary purpose that is directly related to the primary purpose
- with the consent of the individual
- where required or authorised by law.
Third parties
Where reasonable and practical to do so, we will collect personal information only from the individual concerned. However, in some circumstances we may be provided with information by third parties. In such cases we will take reasonable steps to ensure that the individual concerned is made aware of the information provided to us by the third party.
Disclosure of personal information
Personal information may be disclosed in a number of circumstances including the following:
- to third parties where consent has been gained from the individual to do so; and
- where required or authorised by law.
Security of personal information
Personal information is stored in a manner that reasonably protects it from misuse and loss and from unauthorised access, modification or disclosure.
When personal information is no longer needed for the purpose for which it was obtained, we will take reasonable steps to destroy or permanently de-identify it. However, most of the personal information is or will be stored in documents/files that will be kept by us for a minimum of seven years.
Access to personal information
Individuals may seek access to the personal information we hold about them and can update and/or correct it, subject to certain exceptions. Individuals seeking access should contact us in writing. Members have access to their personal information via our website member profile and can edit it whenever they need to.
PT will not charge any fee for such requests, nor for the copying of materials made available to the individual.
Maintaining personal information
PT will take reasonable steps to make sure that personal information is accurate, complete and up-to-date.
What personal data we collect and why we collect it
Comments
When visitors leave comments on the site we collect the data shown in the comments form, and also the visitor’s IP address and browser user agent string to help spam detection.
An anonymised string created from your email address (also called a hash) may be provided to the Gravatar service to see if you are using it. The Gravatar service privacy policy is available here: https://support.gravatar.com/privacy-and-security/data-privacy/. After approval of your comment, your profile picture is visible to the public in the context of your comment.
Media
If you upload images to the website, you should avoid uploading images with embedded location data (EXIF GPS) included unless it is directly relevant to the purpose of posting the image. Visitors to the website can download and extract any location data from images on the website.
Contact forms
We keep contact form submissions for a certain period for service purposes, but we do not use the information submitted through them for marketing purposes.
Cookies
Cookies are strings of information that a website assigns to your computer’s memory when you access information on our site. Each time you use your computer to access the site, the information that was previously received is sent back to the site by your browser. This simplifies repeated access. Cookies do not identify individual users.
If you leave a comment on our site you may opt-in to saving your name, email address and website in cookies. These are for your convenience so that you do not have to fill in your details again when you leave another comment. These cookies are retained for one year.
If you visit our login page, we will set a temporary cookie to determine if your browser accepts cookies. This cookie contains no personal data and is discarded when you close your browser.
When you log in, we will also set up several cookies to save your login information and your screen display choices. Login cookies last for two days, and screen options cookies last for a year. If you select ‘Remember Me’, your login will persist for two weeks. If you log out of your account, the login cookies will be removed.
If you edit or publish a permaculture-related event or service listings, an additional cookie will be saved in your browser. This cookie includes no personal data and simply indicates the post ID of the listing you just edited. It expires after one day.
Embedded content from other websites
Articles on this site may include embedded content (eg. videos, images, articles, etc). Embedded content from other websites behaves in the exact same way as if the visitor has visited the other website.
These websites may collect data about you, use cookies, embed additional third-party tracking, and monitor your interaction with that embedded content, including tracking your interaction with the embedded content if you have an account and are logged in to that website.
Analytics
Our web plugin ‘JetPack’ collects some anonymous analytics data.
Subscription by email
PT offers various ways for members of the public to submit their name and email address in order to request communications by email. These will be used solely for this purpose through a marketing automation platform and an email marketing service. Emails sent directly may also occur from time to time.
Who we share your data with
Contact information may be shared with one or more marketing automation platforms and an email marketing services to facilitate communications such as an eNewsletter or other notice applicable to members or potential members. Members have the option to opt out of these communications by using the link provided in each communication.
How long we retain your data
If you leave a comment, the comment and its metadata are retained indefinitely. This is so we can recognize and approve any follow-up comments automatically instead of holding them in a moderation queue.
For members that join us via our membership system on this website, we also store the personal information they provide in their member profile. All members can see, edit or delete their personal information at any time (but not change their username). Website administrators can also see and edit that information.
Your rights regarding your data
If you have a membership account on this site or have left comments, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. You can also request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal or security purposes.
Where your data is sent
Visitor comments may be checked through an automated spam detection service.

How we protect your data
We will not rent or sell personally-identifying or potentially personally-identifying information to anyone. Other than to its members, contractors and affiliated organisations, PT discloses potentially personally-identifying and personally-identifying information only in response to a subpoena, court order or other governmental request, or when we believe in good faith that disclosure is reasonably necessary to protect the property or rights of PT, third parties or the public at large.
Payment processors receive your IP address and the information you supply them when making a purchase.
We always use high strength passwords for Administrator accounts on WordPress, web hosting, payment processor, email and any other IT service we use. Anti-virus software is installed and kept up to date on personal computers. Firewalls are always used.
We follow generally accepted standards to protect the personal data submitted to us, both during transmission and once it is received. We have put in place reasonable measures and appropriate procedures for implementing these policies and for safeguarding the personal data we collect. However, we cannot guarantee that personal data we collect will never be disclosed in a manner inconsistent with this Privacy Policy.
What data breach procedures we have in place
A data breach occurs when personal information that an entity holds is subject to unauthorised access or disclosure, or is lost.
The actions taken following a data breach will follow four key steps:
Step 1: Contain the data breach to prevent any further compromise of personal information.
Step 2: Assess the data breach by gathering the facts and evaluating the risks, including potential harm to affected individuals and, where possible, taking action to remediate any risk of harm.
Step 3: Notify individuals concerned.
Step 4: Review the incident and consider what actions can be taken to prevent future breaches.
Events
Events use Open Street Map services to generate maps and provide autocompletion when searching for events by location. This may collect data via your browser in accordance to OpenStreetMap Foundation’s privacy policy.
We collect and store information you submit to us about events and services (and corresponding locations) that you publish on our site.
We may use cookies to temporarily store information about any error/confirmation messages whilst submitting or managing your events and locations.
Akismet
We collect information about visitors who comment on sites that use our Akismet anti-spam service. The information we collect depends on how the user sets up Akismet for the site, but typically includes the commenter’s IP address, user agent, referrer and Site URL (along with other information directly provided by the commenter such as their name, username, email address and the comment itself).
Forms
Forms allows PT to collect personal information. The information submitted through a form by a user is kept for a certain period for customer service purposes, but we do not use the information submitted for marketing purposes.
Privacy Policy Changes
Although most changes are likely to be minor, PT may change its Privacy Policy from time to time, and at PT’s sole discretion. PT encourages visitors to frequently check this page for any changes to its Privacy Policy. Your continued use of this site after any change in this Privacy Policy will constitute your acceptance of such change.
